How to Cut Meetings in Half and Gain More Time
If we had to name one situation where most companies waste time and energy, it would be meetings. Not because they are unnecessary – but because they are often unstructured, endless, and without clear outcomes.
In small businesses, where every person has multiple roles and responsibilities, every hour counts. Spending 3–4 hours a week in meetings without concrete progress is a luxury you can't afford.

1. Set a clear meeting goal
Before you invite anyone to the room (or the video call), you must be able to answer the question: "What do we want to achieve in this meeting?"
-
If the goal is unclear, the meeting will turn into an open-ended discussion with no conclusion.
-
If you can write the goal in one sentence, you're on the right track.
2. Narrow down the participant list
The more people in the meeting, the slower the progress. Invite only those who can directly contribute to the topic or need to know the outcome.
Example: If you are discussing the customer process, you don't need the entire accounting team – just a representative who can provide the necessary data.
3. Introduce timeboxing
Each topic in the meeting should have a clearly defined time limit. If you have allocated 10 minutes to topic 1, stick to it.
4. Meetings end with clear outputs
Every participant must leave knowing what was decided and who is responsible for what task. Without written notes and assigned responsibilities, a meeting is just an expensive coffee break.
5. Techniques to shorten meetings
Stand-up meetings
– short, focused, and to the point.
Limit presentations– provide materials in advance and use the meeting to discuss only questions.
Rotating facilitator– the boss doesn't always have to lead the meeting; let the person closest to the topic do it.

Financial impact
If a 7-person team cuts meeting hours in half, you can save 30–40 work hours per month. At an average hourly rate of €15, that's €450–600 saved monthly – without lowering work quality.
Meetings are necessary – but they don't have to be endless. With the right setup, you can save time, increase productivity, and keep your team's energy high.
